The Program Secretary is responsible for courteously and effectively answering all direct telephone calls to the Unit, participating in the referral development process, performing assigned secretarial and clerical tasks, and assisting with overall patient care.

Provides an integral role in interfacing the Physician and Multidisciplinary Treatment Team’s plan of patient care. Plays leading role in the preparation of Medical Records for review by the Fiscal Services Department

This position supports the Mission of the Hospital through the provision of distinctive and compassionate care to our patients.

QUALIFICATIONS

  • Ability to read, writes, and comprehends basic medical terminology.  Basic computer skills.  Courteous and empathetic interactions with patients and family members on the telephone and in person.
  • Current BLS (AHA) for Healthcare providers upon hire.
  • De-escalation training with 30 days of hire.
  • High school diploma preferred
  • Preferred experience in metal health setting working with adult patients, ages 18+
  • Knowledge and understanding of psychiatric diagnosis, terminology, and medical record charting basis
  • Excellent people (patients and staff) skills, flexibility, program knowledge, patience, creativity, diplomacy, stability, leadership attention to detail and diligence.
  • Excellent verbal and written skills in English
  • Ability to work with minimal supervision
  • Excellent attention to detail and ability to reconcile services provided against billed services.

MAJOR TASKS, DUTIES AND RESPONSIBILITIES

  • Reconciles hospital billing with the documentation in the patient’s medical record accurately and timely.
  • Meets with attending physician on weekly basis to discuss patient’s plan of care.
  • Completes all regular and special assignments in a timely manner.
  • Effectively coordinates with case manager/therapists regarding completion of treatment plan, progress notes and discharge plans on a regular basis.
  • Notifies clinical coordinator/program director of any omissions or incomplete areas of medical records immediately; follows-up to insure correction or problem areas.
  • Effectively demonstrates a working knowledge of Medicare guidelines and policies as it pertains to admission criteria and medical necessity for continued treatment.
  • Effectively performs additional duties and responsibilities as position requires.

*Secretarial/Clerical Responsibilities

  • Answers the telephone in a courteous and efficient manner, responding accurately to all requests for       information, and routing call to appropriate staff members.
  • Completes daily census and revenue forms; assists in the process of billing forms.  
  • Assists in the preparation of all weekly and monthly reports, as assigned.
  • Maintains adequate quantity of forms, materials, supplies, and equipment inventory on the Unit.
  • Maintains assignment boards, bulletin boards, and other communication sources.

*Referral Development and Admissions Responsibilities

  • Responds quickly and accurately to all inquiry telephone calls to the Unit.
  • Aids in the admission process by connecting with business office and admitting office.  Gathers relevant descriptive and financial information as needed and either routes information to appropriate hospital personnel or admits the patient through hospital computer system.
  • Greets visitors, patients and their families entering the Unit.
  • Gathers and records necessary demographic and marketing data on all admission calls to the Unit.

Salary: $16.46 – $20.57 per hour
